
WHAT YOU'LL DO
We are seeking a highly organized and detailed-oriented Administration Manager to oversee and manage our administrative department. As an Administration manager, reporting to our Executive Personal Assistant, you will be responsible for ensuring the smooth functioning of all administrative processes within our organization.
Key responsibilities:
- Team Leadership: manage and lead a team of amah, messenger, receptionist, administration assistant, providing guidance, support, and training to ensure high performance and professional development.
- Administrative Operations: oversee and streamline day-to-day administrative operations, including office administration, vendors contract, premises, repair and maintenance, cleaning services support and other routine administration functions, procurement of office supplies and equipment, printing items, fixed asset monitoring, management of office space planning and renovation projects.
- Stakeholders Engagement: negotiate and coordinate with suppliers and vendors as well as management office of company premises.
- Process improvement: continuously assess and improve administrative processes and procedures to enhance efficiency, effectiveness, and compliance with organizational policies and industry best practices.
- Communication and Correspondence: facilitate effective communication within our organization by managing internal and external correspondence, drafting memos, and coordinating meetings and events.
- Handle ad hoc projects as assigned by management.

Required Qualifications
- Bachelor's degree in business administration, management, or a related field (or equivalent work experience).
- 5-6 years office administration experience in a multi-national company, with a managerial experience.
- Experience in office renovation/relocation project is a must.
- Familiar with facility management.
- Experience in formulating Administrative policy at a Group level.
- Strong project management skills.
- A previous experience in managing regional operations under a matrix organization is a plus.
- Excellent organizational and multitasking abilities, with a keen eye for detail.
- Exceptional communication and interpersonal skills, with the ability to interact effectively with individuals at all levels of the organization.
- Proficiency in using office software, MS Word, MS Excel, etc.
- A good command of written and spoken English and Chinese including Mandarin.
